Big Mama’s Collard Green Fest brings together families, food lovers, small businesses, community organizations, chefs, cooks, artists, and local vendors for one of Newtown’s most beloved annual events. Vendors play a major role in creating the energy, flavor, and experience that make this festival special.
How to Become a Vendor
All vendors interested in participating must complete the following steps:
- Purchase a vendor spot using the form on this page.
- Read and sign the Vendor Agreement.
- Complete payment to secure your space.
Vendor space is limited, and applications are reviewed to help ensure the best mix of food, merchandise, community resources, and family-friendly offerings.
Event Information and Vendor Procedures
By participating in Big Mama’s Collard Green Fest, each vendor agrees to follow the event procedures and requirements below.
Set-Up
Vendor set-up begins at 9:00 AM on event day.
All vendors must be fully set up by 11:30 AM, and all vehicles must be removed from the event grounds by that time. This helps keep the festival area safe, organized, and ready for guests.
Booth Staffing
Vendors are required to staff their booth for the full duration of the event. Please plan ahead to make sure someone is available at your booth at all times.
Take-Down
Vendor take-down begins at 6:15 PM on event day.
For the safety of guests, vehicles will not be allowed back onto the event grounds until 6:30 PM. Vendors are responsible for removing all items and leaving their assigned space clean.
Booth Spaces and Equipment
Vendors must provide their own tables, chairs, tent or shade covering, equipment, supplies, and staff.
Booth sizes:
Food trucks, BBQ vendors, and grilling vendors: 30’ x 30’ space
All other vendors: 10’ x 10’ space
Vendor booth locations and the event layout will be provided prior to the festival. Each vendor is responsible for maintaining a safe and secure booth area, including protecting their own belongings and minimizing any risks or hazards to the public.
Weather
Big Mama’s Collard Green Fest is an outdoor festival. In the event of extreme weather, cancellation, or necessary event modifications, updates will be communicated in advance.
If the event must be rescheduled due to weather, the rain date will be shared with participating vendors as soon as possible.
Special Accommodations
Vendors needing special accommodations must submit requests at least two weeks before event day. We will do our best to accommodate reasonable requests when possible.
Public Information
Information submitted on vendor applications may be subject to disclosure under the Public Information Act.
